Case Study – The RSPCA of Victoria Finance Platform Replacement and Modular Key Systems Integration.

The Royal Society for the Prevention of Cruelty to Animals (Victoria) is a non-government, community-based organisation that works to prevent cruelty to animals by actively promoting their care & protection. RSPCA of Victoria works to educate the community about animal welfare & works with government & industry to ensure the standard of animal welfare & care continues to improve.

 The Challenge

As a well-established and growing organisation, the RSPCA of Victoria recognised their technology needed to adapt accordingly. Communication was evolving to be more dynamic and collaborative, and historical methods of presenting information across a one-way channel were very much out of date. The existing Finance management systems were complex, and business processes and functions were slowed down by technical limitations. New developments formed a bottleneck in the Finance and IT unit, so the business was unable to react quickly to changing requirements.

The Approach

Matthew Ryan & Associates ensured that a fresh approach was taken to creating an experience firstly built around the selection of a core system that would allow a modular and more defined, strategic, and less intrusive digital transformation. The finance system was selected first to be transformed and to immediately improve the finance team’s user journey, which would deepen they’re and the overall business engagement and encourage greater communication and clarity throughout the entire business.

It was noticeably clear that all employees and the branch network needed better ways to collaborate and share valuable content. As such the much time and effort were place on finding the right solution, capable of a modular approach they would empower the RSPCA of Victoria with business agility and supply a fantastic opportunity for innovation of all systems for the future, was sort.

The Resolution

In 2020 the RSPCA of Victoria on the advice of MR & A, adopted a new finance system and integration tools, based on the chosen platform's rich user experience and its integration and extension capabilities and primarily ‘Bang for Buck’. MR & A project managed the entire process from EOI and RFP processes through Selection to Board Approval and finally Complete Project Management to UAT and delivery of the system, with post implementation review and road map.

Several integrations with current systems were created, using one tool, to meet the demand of multiple business users, freeing them to enhance the business through better reporting, adopting best practice and managing the business in more agile ways.

The RSPCA of Victoria's ability to deliver critical services has improved significantly. Development from the IT team occurs in a matter of days rather than months, which realises speed to market and reduced costs of development.

As an added bonus, the modular approach allowed the removal of paper and email-based processes, such as procurement to pay and AR/ AP entry, into dual authorised regimented approval-based processes that are streamlining team functions and resources, allowing them to look to the future instead of being stuck in the past.

The Future

The future of the RSPCA Systems is especially bright and focused. The RSPCA toolkit, each month, receives and reviews new functionalities, to further improve the team member and customer experience. Better internal engagement has led to more effective relationships with employees, branches, key systems, and supporters overall. All business units are empowered to react at once to changing requirements, which has a clear impact on income, donations, core awareness, animal care and adoptions.

There are several planned extensions of the platform, which will culminate in one ERP/ Finance and CRM system, again based on the modular transformation approach, ensuring that the valuable services and care provided by the RSPCA of Victoria's are more agile, less reliant on manual process enabling the business to provider greater care and education for all creatures great and small.
